A hardboard RFQ should identify hardboard as the product and define thickness, density, full-sheet or component dimensions, face and reverse construction, processing, finish, quantity, packing and destination in one schedule.
Identify hardboard clearly
Use the product name Hardboard and describe the required dense thin fibreboard construction. Keep MDF, HDF and hardboard as separate order lines. Reference a physical sample or current product record for the exact offered board.
Complete the product schedule
Record one row per specification.

Review face and reverse separately
Inspect both sides under relevant lighting and mark the intended visible face. Record colour, texture, coating or print, and any permitted variation. For downstream coating or lamination, test the actual face and process combination.
Define processing scope
State full sheets, rectangular cut parts, punched components, drilled parts or another confirmed service. Provide drawings for holes, notches and shaped features. Clarify finished dimensions, orientation, labels and inspection method.
Plan downstream finishing
Describe coating, printing, laminating or bonding processes and the intended application. Approve representative trials with the selected hardboard face and reverse. Link accepted materials and process settings to the order reference.
Compare quotations on one basis
Convert each offer to the same thickness, dimensions, product construction and quantity unit. List cutting, finishing, packaging, inland delivery and trade basis separately. Record MOQ, production lead time and validity from the current quotation.
Protect thin sheets in storage and transit
Use continuous flat support, suitable pack height, corner protection, wrapping and controlled strap pressure. Keep bundles dry and supported through loading, transport and receiving. State forklift entry and unloading method.
Inspect the shipment
Check product identity, quantity, thickness, dimensions, face/reverse, flatness expectation, edge condition, finish, labels and pack condition according to the agreed sampling plan. Record each sampled bundle and result.

Buyer review checklist
Before relying on this guidance, record the finished component, service environment, MDF product or unresolved product requirement, thickness, dimensions, supplied surface, visible edges, machining, hardware, quantity and destination. Identify which values need current technical documents and test reports and which appearance decisions need a physical sample.
For international supply, also confirm drawing and sample revisions, packaging construction, part or bundle labels, handling limits, required documents and the party responsible for finished-product design and destination compliance. Ask the supplier to list unresolved items and exclusions in the quotation, and keep every missing value visible for confirmation.
Compare quotations only after these inputs have been normalized. Check whether the offered price covers a full board, a faced construction, a machined part or a finished component, and whether samples, secondary work, protective materials and documentation are included. Record every change after approval so purchasing, production, inspection and receiving teams use the same revision.
Typical lead time is 7–15 days after requirements are confirmed. Final timing depends on specification, quantity, production scheduling and destination. This planning range covers production; arrival timing also depends on the confirmed logistics route.
